From confirmation to execution – just 45 days
The Call That Started It All
It all began with a call from Croatia. Ines, a planner we always enjoy working with, recommended us for the full-scale decor of a luxury wedding at the Dukley Hotel in Budva. We didn’t hesitate.
The bride, an architect by profession, had a clear vision and a refined sense of aesthetics. She knew what she wanted, but was equally open to ideas – as was Ines. And that kind of openness is the key to any successful collaboration and an exceptional outcome.
From the moment we accepted the offer to the moment the guests sat down – exactly 45 days passed. For a destination wedding of this scale, that’s a bold deadline.
We worked out of Serbia, transported everything to Montenegro, and built the entire setup directly on the beach – in the middle of summer, under the scorching sun and coastal winds.
But when the terrain feels impossible, Arkadia relies on what defines us most: experience, process, and people.
From Belgrade to Budva – 6.5 Tons in Motion
Preparations in Belgrade were intense. Every day was a race against the clock, filled with detailed planning and final checks.
Even on the day of loading, we visited six different locations to collect everything on time.
We loaded 6.5 tons of equipment into a large truck – a custom-built bar, a tailor-made lounge zone, a mirrored aisle, a personalized dance floor, tablecloths, ribbon name tags, stationery, fans, sunglasses, umbrellas, a specially crafted head table, and massive constructions built to hold 400 kg of flowers in strong winds — along with chandeliers and handmade candles.
Half of the project was design. The other half – pure logistics.
Five Days on Site – 14 Hours a Day
A team of 25 Arkadia professionals – 4 designers, 4 florists, and 17 logistics crew – worked from the first light until sunset.
Each day meant 14 hours of coordinated effort across four different levels of terrain.
We repacked the equipment into a smaller truck, drove 500 meters to the closest access point, and then carried everything by hand – including down 70 stairs to the beach.
Some of our team members walked up to 20 kilometers per day.
Every step was synchronized with other vendors – lighting, entertainment, rentals.
Everyone involved in this project operated at a high professional level – and that’s what made it all work.
The Beach Scene – No Room for Error
Under open skies, we installed the full setup – tables, chairs, plates, glasses, and candles.
The flowers came last – placed carefully, at exactly the right moment.
To protect them from the intense heat and sea humidity, we placed umbrellas around each arrangement – a shield to preserve freshness until the ceremony began.
But the sun wasn’t the only threat.
While the heat tested the freshness of the blooms, strong coastal winds knocked over elements we had already secured.
Each piece had been double-fixed and tested in advance.
By sunset, the beach had transformed into a quiet, cinematic scene – precise, with not a single move wasted.
What This Project Truly Meant
This wasn’t just another wedding.
It was confirmation that the system we’ve been building for years truly works – even when time, conditions, and nature seem to push back.
It was a reminder that when trust exists within the team, and when vision is shared – anything is possible.
This project taught us a lot.
But more than anything, it reminded us why we do what we do:
Because that moment, when you stand in the space you’ve created, in silence, just before the guests arrive –
that moment is worth every step, every drop of sweat, every morning that began before daylight.
And the greatest reward?
The bride and groom said it all exceeded their expectations.
